The Trello gap

A Trello board has no idea Microsoft Planner exists

Two tools, two update passes, and nothing in either one reflects the other.

Trello has no native connector to Microsoft Planner. A team that works across both β€” Trello for one group, Planner for another, or a shared team moving between the two after a platform migration β€” updates the same piece of work twice: once as a Trello card, once as a Planner task. Trello's own automation and Power-Ups reach other Trello boards, not a Microsoft 365 tenant, so there is no rule you can write inside Trello that touches a Planner plan. A status change on one side stays invisible on the other until somebody remembers to copy it across.

Placker imports the Trello board and the Microsoft Planner plan as two connected boards in the same workspace, then mirrors cards between them. A mirrored card keeps its own identity on each side β€” a Trello card with its checklists and labels, a Planner task with its bucket and assignment β€” while a shared set of fields (due date, assignee, status, labels) stays synchronised. Pair a handful of cards manually, or let a mirror rule watch the board and mirror automatically whenever a condition is met β€” the same rules engine used to mirror cards between two Trello boards.

Connect Planner, then decide manual or automatic

Setup starts with a one-time tenant approval; everything after that lives in the Placker web app.

Before anything syncs, a Microsoft 365 administrator has to authorise the Planner connector for the tenant. It's a one-time approval, but it blocks every user until it's granted, so raise it early. Once approved, connect your own Microsoft account from your Placker profile, then import the Planner plan the same way you'd import a second Trello board. From there, drag a Trello card onto the Planner task to create a manual mirror, or open the board's Rules tab and set a mirror rule with a trigger β€” a card entering a list, a label being added β€” and Mirror card as the action. Mirror settings govern exactly which fields travel, and offer a gentler mode that logs a Planner-side update as a comment instead of overwriting a field.

What changes

Your board stays a Trello board, your plan stays a Planner plan

Each side keeps working in its own tool; only the fields you chose to sync move between them.

Nothing about how either team works has to change. The Trello side still drags cards across lists and runs its existing Power-Ups; the Planner side still uses buckets and My Tasks. What changes is that a status update, a reassignment or a new due date made on either card now shows up on the other without anyone sending a message about it. Two things are worth knowing going in: an edit made in Placker or Trello reaches Planner immediately, while an edit made directly in Planner arrives on Placker's next sync pass, so give it a moment before assuming it didn't take; and comments don't travel back from Planner, because Microsoft leaves comments out of the change feed Placker reads, so keep the discussion on one side.

The Trello board that now talks to Planner

One mirrored card per task, synced fields kept current on both sides, and nothing forced to move.

  • Each card mirrored, not migrated

    Every synced task is still a real Trello card and a real Planner task. Mirroring links them; it doesn't move either one out of its home tool.

  • Synced fields, not synced everything

    Due date, assignee, status and labels travel between the two. Checklists, attachments and comments stay where they were created, so nothing you rely on inside Trello disappears.

  • Automatic once the rule is set

    A mirror rule watches the board and creates the link itself when a card meets its condition, so a new card doesn't wait for someone to remember to pair it.

  • Both teams keep their own tool

    The Trello team never opens Planner and the Planner team never opens Trello. Each reads the same task, current, in the interface they already use.

Practical advice to get the most out of your workflow

Get tenant approval before you start pairing cards

The Planner connector needs a Microsoft 365 administrator's one-time sign-off. Nobody on the team can link an account until it's granted, so request it before you plan the rest of the rollout.

Keep the conversation on one side

A comment added in Placker or Trello reaches the Planner task. A comment added directly in Planner doesn't come back, because Microsoft's change feed leaves comments out. Pick Trello or Placker as the discussion home and stay there.

Expect two different sync speeds

An edit made in Trello or Placker lands in Planner right away. An edit made directly in Planner arrives on the next sync pass, so give it a moment before assuming the pairing has broken.

Turn on automatic field creation before you rely on filters

A label or custom field that doesn't exist on the receiving side is dropped unless the board setting for automatic creation is switched on. The only record of a dropped value is the card's history.

Run mirror rules against history once you've written them

A new rule only looks forward. Cards already sitting on the board stay unpaired until you use Execute now, which is what fills in the backlog the first time you turn a rule on.
